Dear JA & Summit families and staff,
Welcome back! Staff have started returning to various campuses this week and our facilities teams are putting their final touches on the long list of summer projects. I hope everyone is excited to start the new school year and looking forward to all the adventures we will have together.
I wanted to take a minute to give you a peek behind the curtain of a challenge that we are experiencing. Due to the many campuses and wide variety of programs we offer, about a year ago the Colorado Department of Education (CDE) asked JA and Jeffco to make some changes to our school codes in order to better align with CDE’s needs. This process was planned and started before school let out last year. Last week during the final migration of school codes, which included moving the data and access for students and staff, there was a glitch in the system resulting in staff and student data disconnecting from each other at every location except JA Elementary and JA 9th - 12th graders… the only groups who were not being moved.
JA Secondary families staff:
All JA 7th & 8th grades schedules, rosters, and subsequent fee data was lost ON the day registration started.
The roll over also caused high school GPA’s to include 7th & 8th grade classes leading Infinite Campus showing incorrect data.
Many teachers lost access to their student information in Infinite Campus.
Secondary staff is working hard to rebuild schedules for all 7th & 8th grade students. Once those are re-created, school fees will be regenerated and families will be able see and pay their student fees. We expect fees to be back in place on Monday.
Summit families and staff:
Students schedules that were generated on Summit Westminster and Summit South software outside of Infinite Campus were not impacted.
Some families will have limited access to their Infinite Campus data for the next couple of days.
Some teachers lost access to student rosters in Infinite Campus and others did not. Teachers who do not have access to their rosters should let your administrator, or their designee, know.
We have spent the last 4 days working hand in hand with the district to identify and rectify the system logic behind this disconnect. Please know that NO historical student data was lost and this was not a data breach. Rather, it was a system glitch that did not link students and staff to their correct campus resulting in a loss of access and the dropping of schedules and class rosters.
An exciting piece of news is that last week all three JA campuses launched their new Communication Platform and Websites! If you type in jajags.com you will see the new JA PK-12 website. Under the Campus link, you will be able to reach all 3 campus based websites. Jeffco is still in the process of migrating links to our new websites. If you have saved links in your browser, you will need to delete the old and save the new links, which are: elementary.jajags.com, secondary.jajags.com, coalcreekcanyon.jajags.com.
Our new Summit Academy websites will be launching in the coming weeks. As a reminder, this communication platform update came about due to the information the Board and administration received on our staff and family surveys.
